School Commission Meeting Minutes
May 16, 2011

Attendance:
Father Haemmerle, Mrs. Fran Moore, Beth Hart, John White, Mike Carter, Carrie McHenry, Erin Stolly, Sue Klosterman, Brian Leen, Mary Burrows, John Gochenaur, Jen Butler, Michelle Popp, Jenifer Davis, Beth Lantz

I. Opening Prayer:
John White opened the meeting at 6:15pm in the school library and Carrie McHenry led the opening prayer.

II. Approval of Minutes:
The March 2011 minutes were approved. Mike Carter motioned, Michelle Popp seconded.

III. Pastor’s Report:
Father Haemmerle reported:
Principal Search: Mr. David Bogle has been named the new St. Charles principal. A farewell party for Mrs. Moore, Mrs. Burrows and Miss Ellerbrock will be held on June 4th after 5:00 Mass.
School: Enrollment is looking good. The number of requests for financial assistance has increased. If we get 4 more students in Kindergarten we could hire another teacher.

IV. Principal’s Report:
Mrs. Moore reported:
a. Junior High Restructuring: The 6th grade will become a part of the junior high. Since there will be 2 classes in each grade this was a good year to make the change. The junior high teachers have been anticipating this transition for a number of years and are looking forward to having the sixth grade join them. The plan is for Mr. Bertke to be the sixth grade homeroom teacher for the coming year and Mrs. Walker will be their Reading teacher. Each of the other teachers will be preparing for the new sixth grade curriculum over the summer. Mrs. Walker and Mrs. Sarmiento will be eighth grade homerooms, Mrs. Riazzi and Mrs. Krumholtz will be seventh grade homerooms. The sixth graders will have the early start time and will be having two days of Spanish instead of one. Mrs. Waker and Mrs. Callahan will assume all the duties of fifth grade teachers. Both of them have been teaching some of the fifth grade curriculum during the past few years and are excited about becoming the fifth grade team.
Preschool Update: We are putting the pre-school program on hold for a year. The good news is that Mr. Bogle began a pre-school program at his current school and is very willing to continue the work of getting this started at St. Charles. When we looked at the numbers of those willing to come as the date got later we found we did not have enough students to make this a viable program for the next school year. The plan is to work on getting the room ready during the fall and get the approvals in place so that it is ready to show for Open House in January.
Charger Support Committee: The last three meetings have been solely dedicated to financial issues. The CSC has tried several avenues to resolve the funding of the projects previously paid for by the PTO and the more they investigate the more complex the issue becomes. The PTO will end this year with approximately $5,000 in their account. Each year to just maintain the activities that the PTO takes care of we need approximately $25,000. Most of the fundraisers that have funded the PTO in the past are no longer viable. The magazine sale is the only one still remaining. Market Day will not continue unless someone comes forward to run it. School Commission suggested advertising more aggressively for a Market Day chairperson. Some money will come from Entertainment books but that is now run by the Knights of Columbus. Scrip continues to go down in profit not up. They are predicting perhaps $5,000 next year. (In previous years it was $7,000-10,000) Perhaps in the 2012-13 school year the second annual Monte Carlo can include the parent group as hosts and there would be a percentage of the money given to the PTO. For this year that is not a possibility. Discussion at the School Commission meeting turned to a family fee to help with PTO expenses next year. The Commission voted to set this fee at $100.

V. Old Business:
a. Playground Update:
The blacktop is complete and looks fantastic! There is a 60 day “curing” period for the blacktop before adhesive can be applied. The 60 day period ends in early July, at that time the tiles will be installed with volunteer labor. This will be the installation of approximately 2,000 tiles, and the volunteer effort will be organized in 4 hour shifts with “expert” volunteer oversight. Groundbreaking for the playground equipment installation is slated to begin this Tuesday. With the new traffic flow due to the playground a new dismissal plan was discussed. It was decided to split the dismissal areas between Walsh Hall (Last names A-L) and the PAC (Last names M-Z) to lessen the congestion in the back parking lot. A letter will be sent home to inform families of the change.

VI. New Business
a. Leadership Visioning Session Recap: This session was held at Immaculate Conception and discussion focused on what is right/wrong with schools in the Dayton Deanery. One more meeting will be open to everyone and Mrs. Moore will put out an notice of time and place.
b. Bullying Policy: Mrs. Moore handed out a copy of the St. Charles bullying policy. Sue Klosterman pointed out that the handbook does not include the bullying policy – it just references it. Our policy is based on Kettering policy. It was discussed that perhaps more detailed information should be included in the handbook as well as a procedure for follow-up with the child that was bullied.
c. 2011-2012 School Commission Officers Decisions: John Gochenaur will be President, Michelle Popp will be Vice-President, and Carrie McHenry will be Secretary.

VII. Liaison Reports:
a. Teacher’s Report: Mary Burrows/Fran Moore
Kindergarten: TK and K went on a field trip to Cox Arboretum and will be going bumper bowling soon. Kindergarten presented Munchies and Muffins for Moms to celebrate Mother’s Day.
Grade 2: The second graders have just received their First Communion. Now we are preparing for our All School Mass to celebrate this special event as a whole school.
Grade 3: Who you callin’ chicken? Ms. Axt’s class will hatch chickens this month and learn about chicken embryo development. They will also do creative writing about their life as a chicken as well as “chicken math”.
Grade 4: Fourth is starting to hike the Appalachian Trail. The students will apply all math concepts they learned this year as they hike along the Appalachian Trail. We are finishing up our study of forests. We dissected owl pellets to help us understand the food chain. We will continue to study biomes as we move into the desert. In social studies we are almost finished learning about the regions of the United States.
Grade 5: In math they are working on Multiplying Fractions. Fifth graders are also working on their family books.
They will go to Boonshoft on May 25 for “Starry Sky” and a self-guided tour.
Grade 6: They presented Living Way of the Cross, participated in Mother’s Day Mass, will be presenting Old Testament Puppet plays for primary next week. Sixth grade math is working on Prime and Composite Numbers. In sixth grade reading, they are working on an Author’s Power Point, where they have different authors to research and present to the class as a power point.
In English, the sixth graders published their own creative stories in a bound book. These books will be on display in the library during the week of May 16. Sixth graders will be coming to the science lab in May to dissect frogs.
Junior High: Seventh grade has started a unit on personal finance using the donated books, Clark Smart Parents, Clark Smart Kids.
Students are using state standards for reading from non-fiction.
They have just completed the Geometric Zoo related to surface area. The Zoo will be open May 11 for viewing of the animals. Seventh graders are participating in the Ropes Course at Camp Kern this week. They have a variety of activities that promote respect and community.
Eighth graders will attend Math and Science Day at Kings Island on May 19. They will apply principles of math and science to such rides as the bumper cars and roller coasters
Phys. Ed: The students are receiving their prizes from Hoops and Jump for Heart. St. Charles students raised over $6000 this year. Students remain active in Phys. Ed. class. Capture the Flag, Krazy Kickball, Clean up the Backyard, and of course, Grand Champion are just a few activities that keep their bodies moving regularly. Stop by the PAC and join us if you happen to be in the building. Field Day is scheduled for Tuesday, May 24th. Rain date is June 1st. We still need volunteers.
Library: The Library hosted Ms. Pat Clingman from the Dayton Metro Library. Ms. Pat is one of 15 members of the 2011 Caldecott Selection Committee. The Caldecott is the award given for most distinguished children’s book illustration. Ms. Pat is the children’s librarian at the Kettering-Moraine branch. She spoke with the 3, 4, and 5th graders about the summer reading program and children’s story time and other programs. The students really enjoyed her presentation. Information on the programs will be distributed to TK – 5th grade.
b. Marketing/PR: Carrie McHenry/John Gochenaur
Maggie will be working with Lunne Marketing to revamp our website. Improvements should start this summer. Chris Rauch, Debbie Stewart, and Teresa Sarmentio will be assisting.
Currently, St. Charles has right around 415 students registered for next year. Maggie is communicating with families, giving tours, and sending information. She is hoping to reach 430+ students for next year with her additional contacts. The Kindergarten class is full with 42 students. We are starting a waiting list!
The End of the Year Picnic and retirement celebration is being planned for June 4th. Evites will go out tomorrow for our school families – hoping for a good response so we know how much food to order.
In addition, Maggie is planning a summer event for new families and mailing them a calendar of what to expect for the summer.
Also, work is being done on the 50 year Anniversary of the Church and School. Mrs. Krumholtz will have school events next year to tie into the celebration. It will be a year-long celebration beginning October 2011 – October 2012.

d. Athletic Commission: Michelle Popp
The Athletic Commission had late bills from Monte Carlo night to pay. The profit of $35K will be split with the school ($17.5K). Athletic commission finances will be audited by 30 June. The Commission reviewed and approved sports signup sheet that shows fees and discount fees. Cheerleading, soccer, and golf signups were held last night. Handing over of duties to new president and treasurer was discussed.
e. Parish Council: Beth Hart
The March 2011 meeting of Parish Council included an update to the Strategic Planning Team. At the conclusion of the strategic planning effort in November 2009 it was determined that Parish Council would provide an update, after one year, on progress against the goals and objectives that were part of the final strategic plan.
f. Finance Committee: John White:
The Building and Maintenance Committee (a sub-committee of the Finance Committee) presented a capital improvement list to parish council. A few of the top projects are: AC Chiller repairs at the church, Tuck pointing repairs at the entrance of Walsh Hall, School water lines to be updated over 5 year period, South lot tree line to be cleared and replaced with the new landscaping, School fire alarm system updated, Church fascia repaired over 3 year period. None of these repairs have been approved. The Parish Council will discuss.
